Move-In & Move-Out
See below for all move-in and move-out information including shipping and logistics and exhibitor appointed contractors.
Move-In Details
Option 1: Ship Your Exhibit Materials to the Advanced Warehouse
We recommend you ship your show material to the Freeman warehouse in advance of the show. Goods may be shipped to arrive on or after September 23, 2024 and NO LATER than October 15, 2024. The benefits of advance shipping include: storage of material for up to 30 days prior to the show, delivery of shipment to your booth prior to exhibitor move-in and it saves you valuable time.
For more information, refer to the Freeman Ordering Site or contact Freeman at exhibit.transportation@freeman.com or by phone at 1-888-508-5054.
Option 2: Move-In with the use of the Loading Docks
Please ensure that a representative from your company is present when your shipment arrives. All shipments direct to SDCC must arrive on Monday, October 21st. Any shipments sent early will not be accepted. Also, ensure that personnel working on your booth have your company name and booth number. This will ensure that the material handling on move-in days runs smoothly and efficiently and will minimize security hold-ups. If an exhibitor’s representative is not present, CMW & MADS reserves the right to order equipment and/or materials moved from the unloading area to the exhibitor’s booth area, or to order the removal of the truck from the unloading area. Charges for this service will be invoiced by Freeman to the exhibitor.
Material Handling: The maximum time allotted for vehicle off-loading is 30 minutes. No mechanical conveyances will be provided for the movement of display material from the unloading area to your booth. A limited number of flatbed four-wheel dollies will be available, on loan, for unloading smaller shipments. If you require any larger mechanical devices (i.e. forklifts) for the movement of display materials from the loading dock area to your booth you must order Freeman Material Handling (note, this is an exclusive service and exhibitors may not bring their own forklifts).
Exhibitors who plan to off-load themselves might also want to consider using crates that have wheels to allow for faster unloading. PARKING AT THE OFF-LOADING AREA IS PROHIBITED. Vehicles must be removed as soon as unloading is complete. All exhibitors are urged to review their material handling operations and requirements with Freeman well in advance of move-in.
Option 3: Move-In Without the use of the Loading Docks
The Loading Docks do not have to be used if you are able to safely bring your exhibit materials onto the show floor through the front of the hall. Simply park in the Parking Garage and access the show floor via the passenger elevators and escalators.
You may stay on the show floor to set up your display for the remainder of the move-in time for that day (Monday until 5:00pm) and return the following day at the earliest scheduled time to finish (Tuesday at 7:00am). All booths must be fully set up by Tuesday, October 22, 2024 at 7:30am.
Other Important Items
- WORKPLACE AND WORKERS SAFETY IS EVERYONE’S RESPONSIBILITY- All participants must comply with the legislation contained in the The California Occupational Safety and Health Act of 1973. Exhibitors are responsible to ensure that all their on-site staff and suppliers/contractors are informed of and comply with the California Occupational Safety and Health Act while on the show property including:
- The maximum allowable height for a ladder on the show floor is 10 feet. When working at heights of 10 feet or more, ladders must be tied off and appropriate rigging equipment worn.
- Ladders cannot be used as working platforms.
- Please note, no persons under 16 years of age are allowed on the show floor during move-in/move-out.
Move-Out Details
Move-out begins once all attendees are off the show floor. Exhibitors must wait until 5:00pm to begin packing up or dismantling any portion of their display. Move-Out ends at 10:00pm.
Please note: packing up displays or dismantling your booth prior to 5:00pm may affect approval to participate in future shows.
Option 1: Book Material Handling with Freeman & Ship with Freeman OR Your Carrier
This option will allow you to pack up your exhibit materials, leave it in your booth and walk away without any wait time.
LEAVING YOUR EXHIBIT MATERIALS FOR PICK UP BY YOUR CARRIER – Every shipment requires a Freeman Material Handling Agreement and Shipping Label. Freeman can prepare these for you and deliver them to your booth by filling out THIS FORM and returning it to the Freeman Service Desk before show close. It is imperative you complete the form so that your goods can be released to your carrier. This form can also be picked up onsite at the Freeman Service Desk.
Option 2: Move-Out with the use of the Loading Docks
DO NOT move your exhibit materials to the loading docks until your vehicle is at the loading docks. Your booth should be completely dismantled, packed and ready for loading into your vehicle. You will have a maximum of 30 minutes to load your vehicle. If you are unable to self-load within this time, consider booking material handling with Freeman.
MINIMIZE THE RISK OF THEFT – It is recommended that small articles of considerable value be removed at the close of the show and that your exhibit materials are not left unattended.
Option 3: Move-Out without the use of the Loading Docks
At 5:00pm you may pack up and move-out by hand through the front of the show to your car.
Remember to remove all carpet tape to avoid being charged for cleaning costs (rental carpet is an exception) and all items from your booth space (stranded freight will be packed, removed & held for pick-up by Freeman at the exhibitor’s expense).
Stranded Freight
All exhibit materials must be removed from the show floor no later than 9:00pm on Wednesday, October 23, 2024. If any part of an exhibit is left behind, it will be shipped out of the building through Freeman at the expense of the exhibitor.
