Exhibitors may not set up or tear down outside of the specified times without approval from Show Management.

*Exhibitors must wait until 2:30pm to begin packing up or dismantling any portion of their display.
Return Shipping: The venue will manage courier pick up if being done through FedEx or UPS, sponsor must pack up and provide a printed prepaid label.
All boxes being sent with any other couriers must have a pickup scheduled.

Please complete the Sponsor Profile Form ASAP
We use the information from this form to update your sponsor listing on the event website and collect acknowledgement of our Health & Safety policies.

REGISTRATION
Staff Badges
Once you have completed the Sponsor Profile Form, your company's logistics contact will receive an email from edgeoperations@informa.com to login to VISIT (our registration portal). In this portal you can register your staff, please see a step by step guide here on how to register your onsite event staff. Please do not register your company's speaker(s), our conference team will manage all speaker registrations.
Deadline to register staff: Monday, April 6th

Packages will be accepted at the hotel starting on April 6, 2026. Any shipments received before that date may be turned away. Below is the shipping address to the hotel for all packages:

Sponsor Branding - Any custom sponsor branding items will be sent for approval to our listed logistics contact. Approval for these items must be received within 48 business days of receipt. If revisions not received, we will proceed with sent proof.

Package Inclusions
Please see our exhibitor package options below with a breakdown of the inclusions. Any items needed outside of this will need to be ordered using the sponsor ordering forms.
Please be advised that you are responsible for ensuring that any equipment or materials brought by yourselves are covered by your own insurance. You should have public liability insurance to cover your attendance at the event.
Please note that only pop up/pull up banners will be permitted and must fit within the 6'x6' booth footprint.
Tabletop Booth
The following are provided for all stands:
- 1 x Highboy table
- 1 x Stool
- 1 x 500W power supply
ALL ADAPTERS & EXTENSION LEADS MUST BE PROVIDED BY EXHIBITORS. INFORMA CONNECT WILL NOT BE ABLE TO PROVIDE THESE ON SITE.
Complimentary wireless internet will be provided for all exhibitors. If you require a fixed line connection, please contact the hotel directly.

BETTER STANDS
Through our commitment to the evolution of the exhibitions industry, we aim to ensure that we are delivering the best possible experience for our customers. We believe that by moving away from the use of disposable exhibition booth we will improve the ease, quality, safety and sustainability of the exhibitor experience at our events. Therefore, as part of event regulation we ask that exhibitors do not use disposable booth. Disposable booths are defined as space only stands made to be used only once which are usually constructed from raw materials at the venue during build up and the main structure is disposed of after the event. *We are specifying that any freebuild exhibitors must demonstrate evidence at both the design concept and build methodology that your stand’s core structural materials are re-useable or recycled."
Permitted Onsite
- Pop up signs (provided by exhibitor; must have a width of 6' and can be no taller than 8')
- Additional printed tabletop signage (a printed tabletop sign that includes your company name and unique event app QR code will be provided by the show)
Prohibited Onsite
- The use of one-time printed materials/handouts
- Signage that extends beyond the front or sides of your allotted space
Lead Scanning & ConnectMe App
At RIA Edge Nashville, lead scanning will be done through the the ConnectMe App which means you will use your own smart device to scan your leads.
CONNECTME APP
If you are attending, please download the ConnectMe App here, (App Code: GF2026). All staff must be registered to gain access to the ConnectMe App.
Access to the app provides you with the most up to date event information including our agenda, attendees, floor plan, schedule meetings, as well as access to your lead retrieval scanner.
If you have an exhibit booth at the event, you will have access to a virtual booth on the app. Your exhibit booth ID sign will have a QR code, which will take users to your virtual booth. Each scan will be captured as a lead that you will receive post-event. Please ensure you have your virtual booth set up; you will receive an email about this a few weeks prior to show.
ACCESSING YOUR LEADS
You will have real time access to the leads you scan.
Your company's leads will be available in VISIT (registration portal) under 'Connections'. Please log into your VISIT portal to access and download your company's scanned leads.
LEAD INSIGHTS
If you have purchased Lead Insights as part of your exhibitor or sponsorship package, you will be able to rate, view, manage and export all of your interaction and campaign data. By giving all your team access, you can work together to target these leads pre-event, onsite and post-show, with updates coming through in near real-time. Enriched with 3rd party data, this platform will give you the most comprehensive and professional information about who is engaging with you and how.
Interactions that are visible and exportable on the Lead Insights dashboard include: badge scans, peer-to-peer scans, virtual booth visits via the app, in-app content downloads, requested meetings, scheduled meetings and session saves made in the app.
Access to Lead Insights will be sent out from leadinsights@informa.com within 1 week of the event. You will also receive an invitation to attend a pre-event webinar where we will demo the platform and ensure you have the tools to maximize both your success and your ROI at the event.
