Important Deadlines

Below are your important dates and deadlines:

Sponsor Company Information - March 12, 2025 *PLEASE NOTE- Registration links will not be sent to logistics contacts until this form is complete.*

Room Block Booking - March 10, 2025

Staff Registration - March 11, 2025

Shipping to Show Site - Event shipments will be accepted by the hotel starting February 10, 2025

Sponsor Branding - Any custom sponsor branding items will be sent for approval to our listed logistics contact. Approval for these items must be received within 48 business days of receipt. If revisions not received, we will proceed with sent proof.

Package Inclusions

Please see our exhibitor package options below with a breakdown of the inclusions. Any items needed outside of this will need to be ordered using the sponsor ordering forms.

Please be advised that you are responsible for ensuring that any equipment or materials brought by yourselves are covered by your own insurance. You should have public liability insurance to cover your attendance at the event.

Please note that only pop up/pull up banners will be permitted and must fit within the 6'x6' booth footprint.

The floor plan of our space will be sent with your stand / room placement- Coming soon

Tabletop Booth

The following are provided for all stands free of charge:

1 x Highboy table
1 x Stool
1 x 500W power supply

ALL ADAPTERS & EXTENSION LEADS MUST BE PROVIDED BY EXHIBITORS. INFORMA CONNECT WILL NOT BE ABLE TO PROVIDE THESE ON SITE.

Complimentary wireless internet will be provided for all exhibitors. If you require a fixed line connection, please contact the hotel directly.

Shipping Information

Packages will be accepted at the hotel starting on March 27, 2025. Any shipments received before that date may be turned away. Below is the shipping address to the hotel for all packages:

Move In & Move Out Information

Below is a breakdown of the move in and move out times for each contracted area. Please note - any individual not abiding by the below dates and times may be penalized.

Tabletop Booths

Sponsor Move In: Starting on Monday, March 31, 4:00 PM-7:00 PM
Sponsor Move Out: Wednesday, April 2, 4:00 PM-6:00 PM

Health and Safety Information

Please find our exhibitor health & safety information linked below. All exhibitors are required to complete the Sponsor Profile Form to indicate you have read and understood our health & safety guidelines.

Registration Information

Once you've submitted your Sponsor Profile Form, you will receive an invitation to our registration dashboard- Visit by GES. This is where you can register your team members attending the event.

The individual indicated as your logistics contact will receive the email and access to register your staff members.

Please keep an eye out for an email with the subject "Register your passes for RIA Edge Nashville.."
