Health & Safety Guidelines
Informa maintains high standards of Health & Safety and requires exhibitors and their appointed contractors to undertake their work in a safe manner that does not put themselves or others at risk. Exhibitors are required to appoint competent contractors who are appropriately health and safety trained to perform work, erect, and dismantle their stands. The standards and rules outlined in this document should be read in conjunction with the venue’s site-specific safety information.
Informa reserves the right to remove from the premises any persons who do not comply with Informa or venue health and safety requirements, or who put themselves or others at risk. Informa similarly reserves the right to remove any equipment or material from a venue that, in the opinion of Informa, is dangerous when used in the way intended.
The aim of this guidance is to set standards which will assist in protecting the health and safety of any person(s) working at or visiting an Informa event/exhibition. These guidelines should be used to guide employees, exhibitors, contractors, and Informa approved contractors with regards to minimum safety standards in any jurisdiction whilst recognizing that many jurisdictions have higher standards that will take precedence.

Emergency Procedures
All guest rooms at Loews Sapphire Falls Resort feature a telephone with emergency button to connect instantly with the trained emergency response team. The emergency response team can also be reached by dialing *111 from any house phone throughout Loews Sapphire Falls Resort, as well as the hotel's sister properties - Loews Portofino Bay Hotel at Universal Orlando, Hard Rock Hotel at Universal Orlando, Loews Royal Pacific Resort at Universal Orlando, Universal's Cabana Bay Beach Resort, Universal's Aventura Hotel and Universal's Endless Summer Resort - Surfside Inn and Suites & Dockside Inn and Suites.
No equipment, booths, signs, displays, or other items can block or obstruct any emergency phones, alarms, sprinkler valves, or hose connections. The hotel is equipped with alarm and sprinkler systems. Fire extinguishers and other emergency equipment are strategically located in all areas of the building. It is imperative that all fire hose cabinets, strobes, and fire extinguishers be kept clear, accessible, and free of obstructions at all times. The fire hose cabinets, strobes, and fire extinguishers are permanent fixtures of the facility and cannot be moved.
Fire Rules & Regulations
Loews Sapphire Falls Resort complies with all local and state fire regulations. All guest rooms, guest corridors, public and meeting space are fully equipped with sprinkler systems. Fire extinguishers are readily available in all food and beverage outlets, meeting spaces and guest hallways.
All emergency equipment, exits, aisles and walkways must remain unobstructed. Curtains, drapes, or decorations shall not visually or physically obstruct exit doors, exit signs, fire alarms, audio/visual devices, hose connection cabinets, standpipes, fire extinguishers or fire extinguisher cabinets, or other life safety equipment at any time. If the permanent exit signs are obstructed from view, additional temporary exit signs shall be provided indicating the route to the exit door. Exit paths shall remain clear of obstructions. This includes the service corridor and pre-function areas. A minimum of eight feet is required to be always clear in the service corridor to all exit stairways. The pre-function area shall have a minimum of one half (1/2) of the floor space clear with a clear path of travel to all exits. Special permits are required for events or exhibits that involve pyrotechnics, cooking, covered or multi-level exhibits or other potentially hazardous situations (e.g., vehicles, open flame use or demonstration of equipment using liquid fuel inside of building). Permit information can be obtained through your Event Manager.
The use of welding equipment, open flames, decorative candles, or smoke emitting devices or material is prohibited. The use of burning fluids, oils, camphene, liquid oxygen, ethylene, kerosene, gasoline, or anything else of the like is discouraged in the facilities. If your event absolutely requires the use of hazardous materials, maximum limits and controls will be placed on the use of such materials. Those maximum limits and controls include our reserved right to curtail the use of the materials. Fire Marshal approval is required. Exits, entrances, air supply vents, ramps, sidewalks, hallways, stairways, elevators, escalators and aisleways must be kept clear at all times. Exit signs must be kept visible at all times. Fire extinguishers, fire protection valves and fire hose cabinets must be kept clear at all times.
Security
Important Security Guidelines - Please review carefully.
Please note: Show Management cannot assume any responsibility or liability for lost, damaged or stolen property.
- Exhibitors are responsible for the security of all items of their display. Show Management, facility personnel and security contractors try to guard against theft or damage, but the ultimate responsibility falls on the exhibitor.
- Do not list the contents of crates or cartons on the shipping label. For example, a label that lists “19-inch color monitor” is an open invitation to thieves. Use color-coded labels whenever possible.
- Do not store extra products or anything of value in empty crates. Empties will not be stored in a secure area.
- Never display one-of-a-kind items or irreplaceable samples unless someone is always present.
- Do not leave your exhibit area unattended during the hectic and heavily trafficked set up and tear down times. Do not ask neighboring exhibitors to “watch your table.”
- Consider draping your non-valuable items in your exhibit with some sort of cloth at the close of the exhibit hall each day. This psychological deterrent makes it more difficult for people to handle merchandise or take note of what they would like to steal later.
- Business tools such as laptop computers, cellular telephones and hand-held devices are the items most often stolen. They should never be left unattended in your exhibit.
- Prepare a detailed inventory of all items slated to be included in your exhibit and check this list once your shipments have arrived and prior to your return shipments at the close of the event. Be sure to include serial numbers and estimated value. In the unfortunate event that a theft or damage does occur, please report it to Show Management and security as soon as possible.
- It is important to obtain your own insurance coverage rider against all contingencies from the time it leaves your property until it returns.
