Moving In - Shipments in GES Warehouse
GES will deliver all items shipped to the GES Warehouse in advance of the show by your published set-up time.
How to Ship in Advance to the GES Warehouse:
- Remove all old shipping and empty storage labels.
- Print Advance Shipping labels.
- Order Material Handling/Drayage.
- Remember to confirm receipt of your shipment prior to leaving for the show.
- All shipments must have a Bill of Lading or delivery slip showing the number of pieces, weight and type of freight.
- Certified weight tickets must accompany all shipments.
- Take the time to ensure that your display and products are packed neatly and securely.
- Please do not ship the following items to the advance warehouse:
o Pad-wrapped materials
o Uncrated materials
o Any single piece greater than 4,400 lbs (1995 kg)
o Any single piece with a height greater than 100 inches (2.5 m)
o Any single piece with a width greater than 96 inches (2.4 m)
Moving In - Hand Carrying Into the Venue
Hand-carrying is when you personally transport your exhibit materials into the show using your own labor and effort, without the assistance of mechanical equipment or freight handling services.
- Limited to Small Items: Materials that can be carried by one person
- No Mechanical Equipment: Prohibited use of pallet jacks or motorized devices
- Time Restrictions: Must be completed during designated move-in hours
- Entry Points: Use designated hand-carry entrances only
What Is Material Handling?
The unloading of your shipment, transporting it to your booth, storing and returning your empty crates and cartons and reloading your shipment at the close of the show (also called Drayage). This service is not included in the cost of your booth space. Avoid unexpected costs at show site and pre-order this service.
Standard – 25lbs. or more

Uncrating, Unskidding, Dismantling
Labor and equipment for uncrating, unskidding, positioning, leveling, dismantling, recrating, and reskidding machinery and/or equipment must be ordered separately. Place your order for this labor using In-Booth Forklift Labor. If your material requires specialized rigging equipment, please notify us promptly so that we can make arrangements. When possible, supply your own rigging equipment with shipments and pre-rig your material.
Move-Out Details

All exhibit materials will need to be shipped out direct from show site. If you use a carrier other than the official show carrier and they fail to pick up your shipment at show site, your shipment will be re-routed to the destination on Bill of Lading.
Outbound Freight
For Outbound shipments, carriers must pick up freight from the Exhibit Site address:

Storing Empty Containers for Move-Out
Properly labeled empty shipping cartons will be picked up, stored and returned after the show. Labels are available at the GES Exhibitor Success Center on the Expo Floor and are for empty storage only. Depending on the size of the show, it can take from two to twelve hours to return empty crates. Do not store any items in crates marked "empty." GES has no liability for damage to crates or items sent to empty storage in crates.
Exhibitor Appointed Contractors
It is the exhibitor’s responsibility to ensure all exhibitor appointed contractors (EACs) or agents abide by all rules and regulations for The Market Research Event, including the Guidelines for Exhibitor Appointed Contractors outlined below. We recommend all EACs review this manual to give them an overall picture of the show guidelines.
Exhibitors are required to notify GES of their intent to hire an EAC by submitting the online Exhibitor Appointed Contractor (EAC) form prior to September 26, 2025. Exhibitors will require the EAC's Certificate of Insurance to complete the below form.

- Agree to Rules + Regulations between GES and the EAC
- Submit a valid certificate of insurance to GES 30 days prior to show start
