Below is your pre-event TO-DO list, please review carefully as there are mandatory deliverables.
Submit High-Resolution Company Logo and Company Profile
Submit the following via the link below:
- High-resolution company logo (recommended files: .eps, .svg, or .ai)
- Brief company profile (100 words)
This logo and profile is for the event website, signage and attendee packet.
Schedule a Call with the Event Planner
To ensure you maximize your sponsorship benefits at CSP Cold Vault Forum, we encourage you to schedule a brief call with the event planner. This 30-minute conversation will address your specific questions, review logistical details, and what to expect at the event.

The group rate is $169 + tax (based on availability), the rate expires on April 20, 2026
Register Your Team
Any person who will be onsite at CSP Cold Vault Forum is required to register for a badge. The deadline to register is Wednesday, April 29.

Review Shipping Details
Please review the shipping details page in its entirety to ensure your packages are easily identified at the hotel and can be delivered to your tabletop. The hotel will begin accepting packages on Wednesday, May 6.

Place Electrical/AV Order (Tabletop Sponsors Only)
Order Electric and A/V by submitting the provided form and sending to Oguz.Pinar@westin.com. For a discounted price order by Wednesday, April 29.
Submit Certificate of Insurance (COI) (Tabletop Sponsors Only)
A COI must be on file by Wednesday, April 29th. Please ensure your certificate meets insurance requirements.
Submit Retailer Ranking for 1:1 Meetings (Tabletop Sponsors Only)
- You will receive a list of retailers to rank to help us determine your 1:1 meeting schedule. The retailer list will be sent 2 weeks prior to the event.
- A preliminary 1:1 meeting schedule will be available within a week from the event.
- Meetings are scheduled for 15 minutes and will take place at your tabletop.
Retailer Rankings are due Wednesday, April 29, 2026.
