Exhibitor Move In
Sunday, November 8th at 6:00 p.m. - Monday, November 9th at 7:00 a.m.
All booths must be set and operational by 7:00 a.m. on Thursday May 28th.
If for some reason, you are not able to set up at this time, the sponsor risks being moved to a different location in the exhibitor space.
Please contact Alison Jesinkey if you are unable to set-up within this time.
- Monday, November 9th : 8:00 a.m. - 5:00 p.m.
- Tuesday, November 10th: 8:00 a.m. - 3:00 p.m.
Exhibitor Move Out
Tuesday, November 10th: 3:00 p.m. - 5:00 p.m.
All materials must be removed from the exhibit hall by 5:00 p.m. on this day to avoid additional charges.
Your booth space includes:
- 10' x 10' Exhibit Space
- 6' x 6' Table
- Two standard chairs
- Wireless Internet (shared)
The following items are not provided by Inside ETFs Canada. Exhibitors should arrange directly with the hotel.

- Additional AV
Please be advised that you are responsible for ensuring that any equipment or materials brought by yourselves are covered by your own insurance. You should have public liability insurance to cover your attendance at the event.
What can I do within my booth space?
You are welcome to use your space as you best see fit as long as it does not impede on neighboring exhibitors' space. Exhibitors must not exceed their allocated space. Please be sure to check that your stand will fit within your space allocated in your contract. The Organizers reserve the right to move any items outside the boundaries of your allotted space.
As an exhibitor it is essential that you read the Health and Safety Rules . Kindly complete and return pages 19 - 20 of the packet.
The Exhibitor Declaration must be completed and returned by Thursday, October 1, 2020 so that Inside ETFs Canada are aware what you plan to do at this event.
If you have a free build stand you must read the rules here and return stand plans, risk assessments, method statements and a copy of the insurance certificate before permission to build is given. Kindly complete and return pages 23 - 26 of the packet.
Venue & Deliveries
Please note: Materials shipped can be accepted and held by the hotel up to 2 days only before the event.
Exhibitors are responsible for their own shipping; the hotel does not ship on behalf of anyone. Once the waybill is filled out and affixed to the outgoing items, hotel staff will store/hold said items in banquet storage until the designated shipper picks up based on your instruction to them. The hotel is not responsible any items not picked up.
It is your responsibility to book your courier for both delivery AND collection. It remains a private arrangement between you and your chosen courier company. In addition, it is your responsibility to pay all customs charges; otherwise all the materials may be refused.
Please use the delivery label for ALL items being delivered – items not labelled correctly are likely to go missing!
- The loading dock is located on the SOUTHEAST corner of the Hilton Toronto hotel down the laneway located on the EAST side of the hotel.
- Freight Shipments: must arrive on a truck with a hydraulic lift; no transport trucks - due to height of dock and space // 10 +15 tonne trucks only – the dock is under 2’ off of the ground.
If shipping outside of Canada, all goods must be covered by proper customs documents – please mention it is a temporary exportation in order to avoid paying more taxes than expected. The hotel will not pay any taxes/duties etc and will not accept any underpaid charges.
Remember – it is your responsibility to arrange for items to be picked up at the end of the event – items must be collected by the end of the event on Friday, May 29th. You must book the courier and ensure that your items are clearly labelled with your company name and the return address. Items left after this time will be disposed of. Please ensure the collector brings collection instructions detailing the following:

Please note: The hotel does not have a business office for printing etc. During the week, The Printing House can be accessed daily until Midnight.

Your Company Logo & Profile
If you have not already sent us your company profile please provide the following:
100 word company description plus website address.
Please submit your company profile to Lindsey Markewitz by return.
Alternatively, please confirm to the same email address if the profile currently online is correct.
This will be used in either the electronic networking app or the event handbook, depending on the event.

You are entitled to a certain number of complimentary registration passes per your agreement. If you are unsure how many passes you have used or what comes with your package, please contact Lindsey Markewitz
Your FREE Company Passes
- Passes included in your contract need to be registered online using the unique link sent to you via email.
- Once submitted, registrants will receive a confirmation email at the email registered with.
The deadline to register your company and client passes or to make changes to a registration is November 1, 2020 at 5:00 p.m. ET.
Should you require any additional passes, our Director of Event Production, Lindsey Markewitz can coordinate setting up a discount link for you to send to clients.
Kindly note that client passes are subject to approval by Inside ETFs and will not be approved if they are for service providers, ETF/ETN issuers, exchanges, index providers or market makers/liquidity providers.
All speakers will be registered for you. Speakers are considered our guest, and as such, do not count toward your sponsorship pass quota.
NOTE: Speaker Guest Passes are subject to approval by Inside ETFs.
