EXHIBITOR STANDS

Shell Scheme

Please see below the items included in your shell scheme stand package:

  • 1 trestle table, tablecloth
  • 2 chairs
  • Access to power (1 socket) - please bring your own extension lead to have multiple outlets
  • Fascia Board with Company Name

Space Only

As a space only you will receive the same package items as shell scheme exhibitors, if you require additional items such as furniture or power please refer further down the exhibitor manual.

Below are the steps for your booth design:

STEP 1 - for Booth Design Approval – Friday 14th February

Please send me directly your booth design, including measurements.

STEP 2 – Construction Approval – Monday 24th February

Submit the following 5 documents:

Technical sketch – must include measurements

Risk Assessment and Method Statement – required in English language

AV ORDERS

If you would like to order any AV enhancements for your stand (screens, tablets, laptops), you can do so via our AV provider, Experience.

RULES AND REGULATIONS

USE OF MICROPHONES & SPEAKERS

The use of microphones and speakers is to be approved by LSX and will only be permitted if neighbouring exhibitors/partnering will not be disturbed.

LITERATURE TABLE

We are no longer providing a literature table in an effort to reduce waste and create a greener conference.


SHELL SCHEME GRAPHICS

If you would like to brand the inside of your stand you can contact our onsite graphics provider Onward Display. They offer the following two options - standard option or seamless option along with sustainable options for both.

With both sustainable options you are able to take your graphics away after the show to re-use. Please reach out for more information on this.

This sustainable option has the deadline of March 28th as the production time is a longer process.

The Onward team will be able to advise on artwork sizes. Please note the facia board on your stand is included in your stand package and will be organised by LSX. Should you wish to additionally brand your booth only the internal panels require branding. It is also fine to bring pop up banners instead should you would prefer.

DELIVERIES

Please read through carefully all the information below.

Recommended delivery date to the advance warehouse - 21st -23rd April

DELIVERY LABEL

If you would like to ship any banners or materials directly to the venue, please ensure that these only arrive on Friday 25th April. Anything that arrives on another date will NOT be accepted by the venue or may not be ready for the show. Please notify Catherine@lsxleaders.com know by Friday 11th April if you intend to do so.

Please click HERE to download the LSX World Congress delivery label. Please note that if the details are not complete, the delivery may be handed out too late, or refused.

All details of the address must be included so that we can locate your items onsite - failure to include your company name and stand number may mean we cannot find your items onsite. Please be aware that all packages sent are the responsibility of the exhibitor and it is up to the exhibitor to notify our team of anything sent to the venue and label corrected. If a package is not labelled correctly and is unable to be located onsite, it is the responsibility of the exhibitor / contractor to provide us with tracking and proof of delivery.

SHIPPING/LOGISTICS

The Business Design Centre recommend using a freight service in order to guarantee the safe and timely arrival of valuable materials at the event. The recommended freight service of the BDC is Worldwide Exhibition Specialists Ltd.

Please visit their website to get the following information:

  • Shipping instructions, including deadline shipping dates
  • Commercial invoice template
  • Advanced warehouse labels
  • Order form

For Exhibitors who are importing material from outside the European Community, Worldwide Exhibition Specialists Ltd can also take care of the procedure required for TEMPORARY IMPORTATION of your materials and the necessary paperwork to return them without payment of Import Duty or Sales Taxes.

COURIERS POST EVENT

Before the end of the event, please make sure that any items you will be sending to another destination have been assigned a courier and are clearly labeled. 

The venue and LSX are not responsible for your items and will NOT hold any packages after the event that have no couriers assigned so, please make sure that couriers are organised for Wednesday 30th April only. 

Please organise couriers for pick up during the breakdown between 16:30 - 18:00. You can leave the items at your stand for them to be picked up but please make sure you make a member of the LSX team aware that you are doing so. 

Any items that do not have an assigned courier or labels and are left post-event will be disposed of by the venue.

PLAN YOUR VISIT

HOTEL

Please visit HERE to book hotels closest to the venue and benefit from reduced rates for the duration of your stay. 

We recommend Hilton London Angel Islington which is next door to the venue (1 minute walk).

Please book via our hotel page to receive the reduced rate as we will not be able to honour the rate if you book via an external provider.

Parking is located underground of the Business Design Centre - Information on how to book parking spaces can be found HERE.

SPEAKERS / MODERATORS

If you have a speaking role included as part of your sponsorship, please confirm any speakers/moderators with your respective track lead as soon as possible. This allows us to maximise your involvement and the individual’s role at the event to the wider audience.

PRE-EVENT REGISTRATION

Please visit HERE to register your full access passes for the event by Thursday 13th March. (Please note that if your company has a speaking session, you should use one of your sponsorship passes to register that speaker).

Please use the codes sent to you by our team to remove the registration fee, please reach out if you are unsure.

On-site registration opening time: 08:00

BETTER STANDS - Space Only Stands

Better Stands is an Informa wide programme aiming to ensure that all core elements of Space only exhibitor stands are reusable. Help us to reduce environmental impact by committing to the Better Stands programme framework and show that your company values being part of sustainable and socially responsible events.

    3. Ensure your stand reaches at least a bronze level, meaning the stand structure and walls, platform or raised flooring, furniture, equipment and lighting are all reused – Please demonstrate this in your risk assessment and method statement see above
    4. Ensure that the submitted stand design clearly communicates how you will meet the Better Stands guidelines
