EXHIBITOR MANUAL

Please find here all necessary information to organise your booth space at LSX World Congress 2024. This site will be updated constantly. Please stay tuned for further information.

COMPANY LOGO

If you haven't already sent your logo to our team, please upload your company logo HERE in the following format (ai or eps for print and PNG for digital).

This will be used for any onsite branding included in your sponsorship. Please upload this by Friday 8th March. Please make sure to notify us of any rebranding or logo changes so we can make sure your correct branding is on the digital and onsite signage.

EXHIBITOR STANDS

Please see the below the items included in your shell scheme stand package (either 3x2m or 4x3m - please ask if you are unsure on your booth size):

  • 1 trestle table, tablecloth
  • 2 chairs
  • Access to power (1 socket)
  • Company name board

Example pictures are only to show dimensions – internal graphics are NOT included in stand package and furniture will vary.

If you are planning on setting up any large items / any additional AV equipment or decide not to use any of the included stand furniture above, please notify harriet@lsxleaders.com by Friday 12th April as this will need to be agreed with the venue and checked against health and safety guidelines.

SHELL SCHEME GRAPHICS

If you would like to brand the inside of your stand you can contact our onsite graphics provider Onward Display. They offer the following two options - standard option or seamless option

The Onward team will be able to advise on artwork sizes. Please note the company name panel of your stand is included in your stand package and will be organised by LSX. Should you wish to additionally brand your booth only the internal panels require branding. It is also fine to bring pop up banners instead should you would prefer.

EXHIBITOR PORTAL

AV ORDERS

If you would like to order any AV enhancements for your stand (screens, tablets, laptops), you can do so via our AV provider, Experience.

Please complete this order form and send directly to order@experience-event.com

If you would like to order freestanding screens - you can see the two options HERE.

Experience will invoice you directly for anything ordered.

FURNITURE ORDERS

If you would like to order any extra or alternative furniture to the table and chairs provided, you can do so via our preferred supplier Eventex.

Please visit the Eventex website HERE. Simply browse and place the item/s in your basket and checkout using any major credit / debit card. At checkout, you will need to select 'LSX World Congress' from the dropdown list of shows and enter your stand details.

POWER AND INTERNET ORDERS

If you need extra power at your stand you can order this directly with the venue. If you only have a couple of items you need to plug at your stand, you can use an extension lead. Please bring one with you if you need this as they will no be provided onsite.

There will be wifi available at the venue but if you wanted dedicated internet access at your stand, you can order wifi and hardline connections also directly with the venue.

DELIVERIES

Please let harriet@lsxleaders.com know by Friday 12th April if you will be sending any items to the venue so we can inform the venue team and help locate it onsite.

DELIVERY LABEL

If you would like to ship any banners or materials directly to the venue, please make sure that these only arrive at the venue between Friday 12th April - Friday 26th April. Anything that arrives outside of this may not be accepted by the venue or may not be ready for the show.

Please click HERE to download the LSX World Congress delivery label. Please note that if the details are not complete, the delivery may be handed out too late, or refused.

It is crucial that all details of the address are included so that we can locate your items onsite - failure to include your company name and stand number may mean we cannot find your items onsite. Please be aware that all packages sent are the responsibility of the exhibitor and it is up to the exhibitor to notify our team of anything sent to the venue and label corrected. If a package is not labelled correctly and is unable to be located onsite, it is the responsibility of the exhibitor / contractor to provide us with tracking and proof of delivery.

SHIPPING/LOGISTICS

The Business Design Centre recommend using a freight service in order to guarantee the safe and timely arrival of valuable materials at the event. The recommended freight service of the BDC is:

For Exhibitors who are importing material from outside the European Community, Worldwide Exhibition Specialists Ltd can also take care of the procedure required for TEMPORARY IMPORTATION of your materials and the necessary paperwork to return them without payment of Import Duty or Sales Taxes.

COURIERS POST EVENT

Before the end of the event, please make sure that any items you will be couriering to another destination have been assigned a courier and are clearly labelled. 

The venue and LSX are not responsible for your items and will NOT hold any packages after the event that have no couriers assigned so, please make sure that couriers are organised for Tuesday 30th April only. 

Please organise couriers for pick up during the breakdown between 16:00 - 18:00. You can leave the items at your stand for them to be picked up but please make sure you make a member of the LSX team aware that you are doing so. 

Any items with couriers assigned and labels attached that are not picked up by 18:00 will be moved to the LSX office and pick up can be rearranged for the remainder of the week. Any items that do not have an assigned courier or labels and are left post event will be disposed of by the venue.

RULES & REGULATIONS

USE OF MICROPHONES & SPEAKERS

The use of microphones and speakers is to be approved by LSX and will only be permitted if neighbouring exhibitors/partnering will not be disturbed.

LITERATURE TABLE

We are no longer providing a literature table in order to produce less waste and create a greener conference.

INSURANCE

The organiser does not provide insurance for any booth components or additional pieces of equipment brought into the conference, rented from exhibitor services or for personal possessions of any exhibitor against loss, damage or theft. It is the exhibitor’s responsibility to arrange their own insurance coverage.

HOTEL

Please visit HERE to book hotels closest to the venue and benefit from reduced rates for the duration of your stay. 

We recommend Hilton London Angel Islington which is next door to the venue (1 minute walk).

Please book via our hotel page to receive the reduced rate as we will not be able to honour the rate if you book via an external provider.

PARKING

Parking is located underground of the Business Design Centre - Information on how to book parking spaces can be found HERE.

SPEAKERS / MODERATORS

If you have a speaking role included as part of your sponsorship, please confirm any speakers/moderators with your respective track lead as soon as possible. This allows us to maximise your involvement and the individual’s role at the event to the wider audience.

REGISTRATION

PRE-EVENT REGISTRATION

Please visit HERE to register your full access passes for the event by Friday 5th April. (Please note that if your company has a speaking session, you should use one of your sponsorship passes to register that speaker).

Please use the code/s sent to you by our team to remove the registration fee. Please ask if you are unsure.

On-site registration opening time: 08:00

ADDITIONAL PASSES

If you would like to bring additional delegates from your company (outside of those already in your contract), you can benefit from a 15% discount.
