FAQs for event producers
FAQs
How private is the partnering and registration data of my delegates?
expand_lessOn partneringONE, no phone numbers or email addresses are divulged, and no one can see how many meetings other companies are involved in or with whom.
How do I get my registration data onto the partneringONE system? Is data transfer instantaneous?
expand_moreAll events with partneringONE need to set up an API to allow data transfer from your registration system into partneringONE. It is crucial that registration and partneringONE launches at the same time. Please request API documentation to get started with the set-up and testing well ahead of your planned registration launch date.
Do participants have individual accounts or company accounts?
expand_moreOn partneringONE, accounts can be set up in three different ways or a mixture of the below if needed:
Company to company: All delegates under the same company will share a common company profile and messaging inbox. Company accounts allow delegates from the same company to coordinate their partnering activities. Meetings are between two companies but both sides can decide which colleagues participate in a meeting. Each delegate is provided with a personal profile.
Individual to individual (with company profiles): Each registrant has a personal profile and a company profile, but the company profile is not shared with colleagues and colleagues don’t share a common messaging inbox.
Individual to individual (without company profiles): The accounts are personal. No company profiles are attached. An agreed meeting is taking place between two people, not two companies.
How are event sponsors supported?
expand_morepartneringONE can schedule the meetings of sponsors to private meeting rooms, and will schedule sponsor meetings before other meetings to ensure their schedules are optimal. Sponsorship opportunities related to partneringONE can be provided.
When do participants fill in their company and personal profile?
expand_moreUsers can update their profile any time, even during the event. Ideally, the profiling system opens at the same time when registration launches for your event to allow delegates sufficient time to profile before partnering opens 3-7 weeks out.
How comprehensive are the company profiles and where do they come from?
expand_moreProfile fields can be customized to any event in any industry to match your needs.
Standard company profiles on partneringONE are comprehensive, including profiles for the individual, company, assets, and upload of personal photo, company logos and attachments. If a company has attended a previous event, using the partneringONE standard company profiles, their profile(s) will be available to them for import. Registrants can edit their profiles before making them visible to other participants.
Again, profiles are completely customizable but if you decide to change the profile fields, past partneringONE company profiles won’t be available for import since profile fields won’t match.
When and how do participants review other participants?
expand_moreThere is no need to create a catalog of participants at a partneringONE event because the profiles are available anytime online, even after the event. The full list of company names and personal profiles become available for browsing from about six weeks prior to the event (or once a critical mass of participants is reached - tbd for your event). Company profiles and assets need to be published by delegates in order to be visible to other attendees. All profiles and assets can be searched using a number of advanced search features.
How are meetings arranged between participants? Are there any deadlines?
expand_more- partneringONE has an internal messaging system for requesting meetings.
Recipients receive meeting requests via email or SMS or both if they opt for “Instant Notification” in settings. Individuals can turn this feature on or off as they wish.
Only accepted meetings are scheduled.
Meetings are scheduled to time slots based on the mutual availability of the participants. Meeting times lots are usually set at 30 minutes but can be customized based on your needs.
There are no deadlines for requesting meetings.
In partneringONE professionally managed service, your dedicated partnering Project Manager runs the scheduling to ensure sponsors are prioritized and schedules are maximized. Therefore, agreed meetings are scheduled in bulk about one week before the event, then regularly thereafter right through to the end of the event. partneringONE assigns all meeting locations.
If you have contracted partneringONE self-managed, meetings are scheduled in real time (instant scheduling), as soon as they are accepted. However, priority settings can’t be taken into effect via instant scheduling.
How can delegates maximize the number of meetings they schedule?
expand_moreTo maximize the number of meetings, the best advice is to start early with meeting requests, make clear and targeted requests, respond promptly to incoming requests, and make sure their availability is as open as possible.
partneringONE schedules agreed meetings on behalf of delegates to save them time and frustration going back and forth trying to determine a mutually convenient meeting time with other participants.
Can meetings be rescheduled?
expand_moreMeetings can be rescheduled anytime if someone's travel plans change, for example. When delegates submit a meeting for rescheduling, they will be offered an alternative time and date. When they agree to the alternative time slot, the meeting will be instantly rescheduled and they will then set their availability for the now empty time slot.
If there is no alternative time and date offered, delegates can still enter the meeting for rescheduling. It will be reviewed regularly by the scheduler to see if it can fit in. If they agree to the alternative time slot, the meeting will be instantly rescheduled.
When is the latest that participants can start arranging meetings?
expand_moreIt's never too late to start trying to arrange meetings. partneringONE is always open.
What technical support is there for delegates before the event?
