Move-In & Move-Out
All exhibitors are required to wear a badge in order to access the show floor during Move-In, during The Show, and Move-Out.
We understand that some of the materials that you bring to the show may not necessitate the use of a Loading Dock for your Move-In or Move-Out. If this is the case, you may enter through the Exhibitor Entrance next to the loading dock with materials in hand or a hand dolly directly to your booth to set-up.
More information will be emailed to you in March 2023.
Move-In Schedule

Floor Plan Current as of: January 2023
Move-In Details
Option 1: Ship Your Exhibit Materials to the Advanced Warehouse
We recommend you ship your show material to the Freeman warehouse in advance of the show. Goods may be shipped to arrive on or after March 1, 2023 and NO LATER than March 25, 2023. The benefits of advance shipping include: storage of material for up to 30 days prior to the show, delivery of shipment to your booth prior to exhibitor move-in and it saves you valuable time.
For more information, refer to the Freeman Ordering Site or contact Freeman at FreemanCanadaFreight@freeman.com or by phone at 1-888-508-5054.
Option 2: Move-In with the use of the Loading Docks
Direct shipments must be made during the exhibitor’s assigned Move-In day and time. Please refer to the colour coded Move-In schedule above. You may NOT move-in earlier than your scheduled time, however, if you DO NOT require Loading Dock access, you may move-in later using the exhibitor entrances to the exhibit hall.
Please ensure that a representative from your company is present when your shipment arrives. Also, ensure that personnel working on your booth have your company name and booth number. This will ensure that the material handling on move-in days runs smoothly and efficiently and minimize security hold-ups. If an exhibitor’s representative is not present, ROOFTech reserves the right to order equipment and/or materials moved from the unloading area to the exhibitor’s booth area, or to order the removal of the truck from the unloading area. Charges for this service will be invoiced by Freeman to the exhibitor.
Material Handling: The maximum time allotted for vehicle off-loading is 30 minutes. No mechanical conveyances will be provided for the movement of display material from the unloading area to your booth. A limited number of flatbed four-wheel dollies will be available, on loan, for unloading smaller shipments. If you require any larger mechanical devices (i.e. forklifts) for the movement of display materials from the loading dock area to your booth you must order Freeman Material Handling (note, this is an exclusive service and exhibitors may not bring their own forklifts).
Exhibitors who plan to off-load themselves might also want to consider using crates that have wheels to allow for faster unloading. PARKING AT THE LOADING DOCKS IS PROHIBITED. Vehicles must be removed as soon as unloading is complete. All exhibitors are urged to review their material handling operations and requirements with Freeman well in advance of move-in.
If you do NOT require Material Handling, we suggest you complete the Material Handling Exemption Form and return it Freeman when you move-in to avoid any confusion during the offloading process.
Option 3: Move-In Without the use of the Loading Docks
The Loading Docks do not have to be used if you are able to safely bring your exhibit materials onto the show floor through the front of the hall. Simply park in the Exhibitor Parking area and access the show floor via the exhibitor entrance doors.
Reminder: You may NOT move-in earlier than your scheduled time however, if you DO NOT require Loading Dock access, you may move-in later than your scheduled time.
You may stay on the show floor to set up your display for the remainder of the move-in time until 10:00pm.
