This guide answers questions about speaker preparation, what to do onsite, delegate lists, recordings and much more.
If you have any questions, please contact, the Head of Speaker Logistics - Davina Donovan davina.donovan@informa.com.
Timelines - When will speakers be introduced to their co-speakers?
Contact details for all speakers in your session will be sent no later than 4 weeks before the event. This mail will also include all times and room locations for the session.
Can I ask for this timeline to be brought forward?
No, sorry. The timeline process has been refined and optimised over many decades of experience. It cannot be modified.
How does preparation work? The role of the moderator
Moderators – please get in touch with your panellists promptly when you receive the details from the Head of Speaker Logistics davina.donovan@informa.com
Moderator and Panellists - The moderator is responsible for setting up the calls with panellists either together or individually. The moderator plans the session, making sure everyone has their message heard, and drawing up a rough plan of action. While planning is important it is also important not to over plan otherwise sessions can seem stiff to the audience – it’s a balance! Moderators also confirm the on the day final face-to-face meeting in the speaker lounge 60 minutes before the session.
Am I allowed to have slides or videos?
Not unless this has been pre-agreed with the editors' Jenny Adams or Karima Haywood.
I am not sure about the direction of the session, can one of the editorial team help?
Yes, the editorial team is on hand to help steer the planning, please ask. All Mainstage sessions will automatically have either Jenny Adams or Karima Haywood on the preparation call.
Who will introduce me on the day?
Moderator – the stage chairperson will introduce you by name title and company and maybe a short preamble about the session. No bios will be read out as these will be available on the app.
Panellists and showcase participants – the moderator will introduce you
I can only stay for part of the event, can someone else take my ticket?
No, our policy is one person, one ticket which cannot be transferred. We will have festival-style wristbands which will avoid the hassle of lost badges and also ensure that only registered speakers and delegates are allowed entry.
Where will I go when I arrive?
Upon arrival, please meet your hosts at the ‘Speaker Meeting Point’ which is located at the main registration as you walk into the Grimaldi Forum. Your hosts will be easy to spot, wearing pink sashes. The hosts will then escort you to the speaker registration in the Speaker Lounge where you will be able to pick up your IMpower FundForum badge.
What happens in the speaker lounge?
Apart from collecting your badge, you will also be able to confirm your session, check your AV, meet up with other speakers and have refreshments. Non-speakers are not allowed in the lounge.
How will my team know where my session is taking place?
The agenda schematic and locations of all sessions will be available online, on screens and your session.
I am speaking in a showcase, not a panel, what do I need to prepare?
Showcases have a 10-minute slot. This involves a 6-minute presentation with the remainder for questions from the investor feedback panel and audience. You may use an appropriate number of slides given the time. You will be introduced by an experienced industry host who will also moderate questions and keep time.
Who helps keeping the session to time?
Keeping sessions on time is not only essential for the smooth running of the event but a courtesy to others. Over-running is counter-productive as it is considered rude by the audience. You will be helped to time in three ways
1 There is a red countdown ticker in front of you. Please keep an eye on this to help you pace the session and to avoid embarrassment.
2. Your session chairman who introduces the session, is instructed to stand up and discretely signal or speak out if it looks like you are going over time or not watching the red clock.
3. The microphone is automatically cut at 0 seconds as we must keep to time.
Can I receive a copy of the delegate list?
The delegate list is available at different times and at different levels of transparency, depending on your partnership level with us.
Sponsors have the advanced attendee list on Excel 4 weeks before the event.
For everyone else, The IMpower FundForum app opens 2 weeks before the event to all other attendees, including speakers - where you will see the full list of attendees. There is a messaging function and a full range of other social features on the app.
Can I receive a copy of the session recording if one was made?
Sponsoring firms who have contracted to receive MP4 recordings of their session will receive this and be made available to you within 1 week of the event.
