Exhibitor & Sponsor Order Forms
Please use the forms below to order any catering, electrical, or AV needs you may have. Please note- please select the correct form below BASED ON YOUR CONTRACTED SPACE TYPE. To place your order, you will need your room / suite / tabletop number. If you have not yet received your number, please reach out to your sales rep or the PPIF Operations Team, ppifoperations@informa.com.

If you are ordering services to multiple contracted spaces, please be sure to submit your orders using the forms indicated below (one form cannot be used for multiple locations.)
*Please note- Catering MUST be ordered through the hotel. Any catering brought in from outside of the hotel is at risk for a penalty fee*

Due to the volume of catering requests, the menu options for these areas are limited to room service amenities.

Package Inclusions
Please see each of our package options below with a breakdown of the inclusions. Any items needed outside of this will need to be ordered using the sponsor ordering forms.
Please be advised that you are responsible for ensuring that any equipment or materials brought by yourselves are covered by your own insurance. You should have public liability insurance to cover your attendance at the event.
The floor plan of our space will be sent with your stand / room placement in the second week of January.
Tabletop Booth
The following are provided for all stands free of charge:
- 8 ft x 10 ft footprint (The Organizers reserve the right to move any items outside the boundaries of your allotted space.)
- 1 x desk
- 2 x chairs
- 1 x 500W power supply
- 1 x tabletop ID sign
ALL ADAPTERS & EXTENSION LEADS MUST BE PROVIDED BY EXHIBITORS. INFORMA CONNECT WILL NOT BE ABLE TO PROVIDE THESE ON SITE.
Complimentary wireless internet will be provided for all exhibitors. If you require a fixed line connection, please contact the hotel directly.
Boardroom
Each boardroom space includes the following items:
- Private meeting space with a lockable door.
- Table with chairs (capacity discussed during contracting. Please reach out if you need additional details) Tables and chairs set in conference style unless indicated otherwise.
- 1 x Meeting room sign outside of the space
Complimentary wireless internet will be provided for all rooms. If you require a fixed line connection, please contact the hotel directly.
Standard & Premium Meeting Suite
Each boardroom space includes the following items:
- Private meeting space with a lockable door.

Cabanas
We have TWO different types of cabanas at our event. Please find your respective cabana below and the items included in your contract.
Pool Cabana
- 1 x open cabana space
- 1 x 30" round table
- 4 x chairs
- 1 x meeting room sign
Complimentary wireless internet will be provided for all rooms. If you require a fixed line connection, please contact the hotel directly.
Lawn Cabana
- 1 x open cabana space
- 1 x 30" round table

Shipping Information
All items shipped to the hotel must be managed via the FedEx Business Center located on property. Shipments are subject to storage and handling fees based on their weight and size.
Packages will be accepted at the hotel starting on January 24, 2025. Any shipments received before that date may be turned away. Below is the shipping address to the hotel for all packages:

If you are looking to ship your items for the event earlier, please have your items shipped to our General Contractor Warehouse (GES.)
Shipments should arrive on or between business days:Tuesday, December 23, 2025
- Tuesday, December 23, 2025 - Wednesday, January 21, 2026
Warehouse receiving hours are:
- Monday - Friday, 7:30 AM to 4:00 PM; Closed 11:30 AM to 12:00 PM & Holidays.
GES Exhibitor Shipping Information
Please ensure the attention is noted correctly so that we accept the packages.
For international companies, all goods must be covered by proper customs documents – please mention it is a temporary exportation in order to avoid paying more taxes than expected. The hotel will not pay any taxes/duties etc and will not accept any underpaid charges.
Remember – it is your responsibility to arrange for items to be picked up at the end of the event – items must be shipped by the end of January 29, 2025. Items left after this time will be disposed of. If you've chosen to use a courier services for your items, please ensure the collector brings collection instructions detailing the following:

Delegate & Meeting Room Only Passes
The primary contact from each company will receive a unique activation link from noreply.globalfinance@reg-informa.com. This will include details of how to create an account on our registration portal, Visit Connect, to register your complimentary passes for the event.
If you need any amendments to be made to your account or your login link to be resent please contact our Customer Success team to assist you: gfsupport@informa.com.
Speakers will automatically be registered, please do not use your allotments to register speakers. The PPIF Speaker Co-Ordinator will be contacting all speakers directly with further information about their participation.
