We look forward to welcoming our exhibitors, sponsors, speakers and attendees back at BUILDEX. Please review the information in this Exhibitor Manual closely to ensure your team is set up for success at the event. Exhibitor Checklist
To maximize the benefits of participating at BUILDEX Alberta, we suggest you become familiar with all of the information relating to the show. Here is a checklist which highlights key items to consider when finalizing your plans.
- Register for your exhibitor staff badges.
- Review our Booth Design Guidelines to make sure that your booth complies.
- Review the Health & Safety Declaration with all staff members who will be onsite.
- Review the Colour-Coded Move-in Schedule to determine your assigned move-in day and time.
- Determine if Material Handling or Advanced Warehousing is right for you.
- Review the event Code of Code of Conduct for BUILDEX Alberta
- Complete your Exhibitor Listing on the A2Z Exhibitor Directory
- Complete the mandatory Better Stands Sustainability Survey for your booth by September 21, 2026. Your entry automatically enters you to win our new Sustainability Award.
- If your exhibit is 400sq.ft. or larger, or if your exhibit deviates from the Show Regulations in any way, submit your final/updated booth renderings to Maggie Roman at maggie.roman@informa.com before September 21, 2026.
- Submit proof of $5,000,000.00 commercial general liability insurance (or purchase temporary insurance) to exhibitorinsurance.com to be approved by September 21, 2026.
- Submit your Intent to hire an Exhibitor Appointed Contract form by September 21, 2026 if you are using an EAC to build your booth.
- Place order with Levy Show Services for carpet, furnishings, shipping, material handling etc. if required by September 29, 2026 to receive discount rates, Online Ordering closes October 9, 2026.
- Place order with MicroSpec Registration Services for an additional lead retrieval scanner (if required) by October, 2026 to receive discount rates -- be sure to claim your included device or license!
- Place order with BMO Centre for Electrical, Plumbing & Natural Gas, Internet and Telecommunications, Housekeeping, Parking, Food and Beverage, etc. by October 7, 2025 to receive discount rates.
- Place order with Encore for A/V or Heavy Rigging (over 40 lbs) by September 21, 2026 to receive discounted rates.
- Submit Safety Data Sheets (SDS) for any hazardous materials/products to be used at the show to Maggie Roman at maggie.roman@informa.com before September 21, 2026.
- Maximize your ROI at BUILDEX Alberta by setting clear goals, creating engaging booth experiences, and following up strategically to turn leads into valuable partnerships.
- Book your Hotel Rooms for BUILDEX Alberta early to receive discount rates - Discount available until September 19, 2026, or sold out.
- Sign up for our Exhibitor Lunch and Learn on September 17, 2026 at 12 noon MST.

Exhibitor SPAM Alert
BUILDEX Alberta has learned from several exhibitors and attendees they are receiving scam emails offering attendee lists for purchase. Please be aware these offers are fraudulent. We do not sell or release data and have strict policies around the protection of data at Informa. These scammers do not have any relationship with BUILDEX Alberta or Informa and they do NOT have the data they are attempting to sell.
Additionally, we have been made aware that exhibitors and past participants have received letters that appear to come from Informa/BUILDEX Alberta but is actually from the International Fairs Directory. The letter asks exhibitors to confirm or update their company information to be displayed on their listing in a directory. Once returned, they attempt to invoice you for the listing. Informa/BUILDEX Alberta is in no way affiliated with the International Fairs Directory, please do not respond to these inquiries.
We continually work with our Show Management and legal team in sending the spammers cease and desist letters; however they are persistent and continue to send under different email addresses and different aliases. If you receive one of these emails, please BLOCK and MARK AS SPAM in your inbox, and forward it to spam@fightspam.gc.ca. In addition, we recommend to review our Authorized Suppliers List to familiarize with the suppliers who will be reaching out to you for only show specific purposes and your involvement in BUILDEX Alberta.
