This exhibitor manual is your one-stop shop for all key information leading up to the event. Please review the information in this Exhibitor Manual closely to ensure your team is set up for success at the event and share the link with your team members. Use the navigation buttons and the exhibitor checklist below to take all necessary steps leading up to the event.

To maximize the benefits of participating at BUILDEX Vancouver, we suggest you become familiar with all of the information relating to the show. Here is a checklist which highlights key items to consider when finalizing your plans.

• Register your exhibitor staff badges for the event, this will give your staff access to the Expo Hall Floor on Show Days (Check your email for login details).
• Claim your FREE Lead Retrieval Device from MicroSpec Registration Services (1 Free Device per Exhibiting Company). Purchase additional devices by January 30, 2027 for discount rates.
• Talk to your team about your ROI goals and how you will measure your success at BUILDEX. We recommend taking advantage of your free Lead Retrieval device to maximize your leads.
• Plan your booth design using our Booth Design Guidelines to make sure that your booth complies with our regulations
• Review the Health & Safety Declaration with all staff members who will be onsite.
• Review the Code of Conduct with all staff members who will be onsite.
• Review the Colour-Coded Move-in Floor Plan to determine your assigned move-in day and time.
• Complete your Online Exhibitor Profile on the A2Z Exhibitor Directory.
• Fill out the mandatory Better Stands Sustainability Survey by January 8, 2027 and be automatically entered to win our Sustainability Award
• If your exhibit is 400sq.ft. or larger, or if your exhibit deviates from the Booth Guidelines & Regulations in any way, submit your final/updated booth renderings to Tarah Everett before January 8, 2027.
• Submit proof of or buy commercial general liability insurance that meet venue requirements by January 8, 2027
• Submit your Intent to hire an Exhibitor Appointed Contract form by January 8, 2027, if you are using an EAC to build your booth.
• Place order with Levy Show Services for carpet, furnishings, shipping, material handling etc. if required by January 20, 2027, to receive discount rates.
• Place order with Vancouver Convention Centre for booth cleaning, electrical services, sign/banner installation and removal, internet service etc. by January 18, 2027, to receive discount rates.
• Submit Safety Data Sheets (SDS) for any hazardous materials/products to be used at the show to Tarah Everett before January 8, 2027.
• Sign up for our Exhibitor Lunch and Learn on January 13, 2027 at 12 noon PST.
• Purchase safety vests for your staff through the Vancouver Convention Centre, onsite in a vending machine, or source your own.
