Exhibitor Checklist
To maximize the benefits of participating at the LBMAO Buying Show, we suggest you become familiar with all of the information relating to the show. Here is a checklist which highlights key items to consider when finalizing your plans.
GENERAL ITEMS TO COMPLETE NOW
- Fill our your Exhibitor Profile ahead of the show to receive additional exposure when attendees are planning their visit to the show floor. See instructions here.
- Review our Booth Regulations to make sure that your booth complies
- Review the Colour-Coded Move-in Floor Plan to determine your assigned move-in time.
- Learn how to maximize your exhibitor participation by reviewing the Marketing Tools.
- Review the Health & Safety Declaration attached to your Exhibitor Contract with all staff members who will be onsite.
- Determine whether you must file a Notice of Project with the Ontario Ministry of Labour.
- Review the Electrical Safety Authority requirements to ensure your electrical equipment is authorized for display and connection in Canada.
ITEMS DUE BY MARCH 2, 2026
- Complete the mandatory Sustainability Assessment Survey by March 2, 2026.
- If your exhibit is 400sq.ft. or larger, or if your exhibit deviates from the Show Regulations in any way, submit your final/updated booth renderings to Tori Grant before March 2, 2026.
- Submit the Notice of Intent to Use an Exhibitor Appointed Contractor (EAC) form if you plan to use an independent contractor to install or dismantle your exhibit by March 2, 2026.
- Submit Safety Data Sheets (SDS) for any hazardous materials/products to be used at the show to Tori Grant by March 2, 2026.
ITEMS DUE BY MARCH 6, 2026
- Place order with CCR for audio visual equipment or internet services if required by March 6, 2026 to receive discount rates. April 3, 2026 is the final day orders will be received.
ITEMS DUE BY MARCH 11, 2026
- Place order with Freeman for carpet, furnishings, material handling etc. if required by March 11, 2026 to receive discount rates.
ITEMS DUE BY MARCH 18, 2026
- Place order with ShowTech Power & Lighting for electricity, lighting, sign hanging services, etc. if required by March 18, 2026 to receive discount rates.
ITEMS DUE BY MARCH 25, 2026
- Place order with the Toronto Congress Centre for in-booth catering by emailing Cassandra Grenci at cgrenci@torontocongresscentre.com before March 25, 2026.
- Place order with the Toronto Congress Centre for in-booth cleaning by March 25, 2026.
- Upload your own COI containing these requirements to be approved by March 25, 2026 or purchase temporary exhibitor commercial general liability insurance by March 25, 2026.
ITEMS DUE BY MARCH 27, 2026
- Register your exhibitor staff badges by March 27, 2026.
- Order your lead retrieval device to scan attendee badges by March 27, 2026. More details here.
