Refer to the move-in schedule to determine when you are scheduled to arrive at the venue to offload your booth materials and begin setting up.

Move-In
Please review the below to plan your move-in for the LBMAO Buying Show. We strongly recommend exhibitors bring their own dollies for move-in and move-out as there are limited dollies available to rent onsite.
Option 1: The Day Before the Show: Wednesday April 8, 2026
- If you can safely hand carry your exhibit materials onto the show floor, use the Toronto Congress Centre's outdoor exhibitor parking lot and bring your materials directly to door 5 to access the show floor between your move-in time and 8:00 pm.
- Reminder: You may NOT move-in earlier than your scheduled time however, if you DO NOT require Loading Dock access, you may move-in later than your scheduled time.
- Please note that there are no passenger or service elevators - all outdoor parking lots and Expo Halls are on the ground floor.
Option 2: Exhibitors with Special Requirements

If you are shipping your materials to the show for your scheduled move-in time, please ensure that a representative from your company is present when your shipment arrives. Also, ensure that personnel working on your booth have your company name and booth number. This will ensure that the material handling on move-in days runs smoothly and efficiently and minimize security hold-ups. If an exhibitor’s representative is not present, the LBMAO Buying Show reserves the right to order equipment and/or materials moved from the unloading area to the exhibitor’s booth area, or to order the removal of the truck from the unloading area. Charges for this service will be invoiced by Freeman to the exhibitor.
Shipping
- Shipments to the Toronto Congress Centre must be prepaid and scheduled to arrive no earlier than April 8, 2026 between 12:00 pm to 9:00 pm.
- Collect shipments, or those arriving prior to April 8, 2026 will NOT be accepted by the Toronto Congress Centre staff.
- All deliveries to the Toronto Congress Centre must be consigned in the following manner:

Move-In with Oversized Items
If you are not able to park and carry or wheel your exhibit materials down to the show floor due to their size, weight or volume, you will be required to move-in via the loading docks the day before the show
- Lower cargo vans will require a liftgate, or if they do not have one they must purchase material handling through Freeman due to the steep angle of the ramp. No liftgate is needed for larger vehicles.
- Only a limited number of vehicles can enter through the loading docks at a time, therefore loading dock access is pre-approved in order to gain access.
- Exhibitors who attempt to move-in through the loading docks without prior approval from Show Management will be directed to stand by until space becomes available while the scheduled exhibitors move-in.
- Loading dock access will ONLY be available the day before the show, Wednesday April 8, 2026 with timing confirmed on a case by case basis.
To secure Loading Dock Access - Forward full details of your request to Tori Grant by March 23, 2026 and include the following:
- Size of vehicle making the delivery.
- Description of the item(s) you are bringing into the show; is material handling required? (Please note that material handling is an exclusive service of our general contractor, Freeman).
- How much time is required to offload?
You will receive a reply email from Show Management indicating the time that has been allotted to your company, along with a a Dock Pass, to access the loading as confirmation. The Dock Pass must be presented to the dock staff at the correct time in order to access the loading docks. Please ensure the person making your delivery knows the company name and booth number when they arrive at the loading docks.
Exhibitors who request Loading Dock Access after March 23, 2026 will be directed to stand by and will be queued up to come through the loading docks once there is space.
Exhibitor Appointed Contractors
It is the exhibitor’s responsibility to ensure all exhibitor appointed contractors (EACs) or agents abide by all rules and regulations for the LBMAO Buying Show, including the Guidelines for Exhibitor Appointed Contractors outlined below. We recommend all EACs review this manual to give them an overall picture of the show guidelines.
Exhibitors are required to notify Show Management of their intent to hire an EAC by submitting the online Intent to Hire an Exhibitor Appointed Contractor (EAC) form prior to March 2, 2026. Exhibitors will require the EAC's Certificate of Insurance to complete the below form.
Exhibitors should make EACs aware of the guidelines to be followed as listed in the Booth Standards and Show Standards, as well as the points below:
- The EAC shall be given the right to provide services requested of them by an exhibitor in the set-up and dismantling on the show floor, and shall have the right to utilize qualified employees;
- These services shall not conflict with existing labour regulations or contracts, including exclusive services provided by the TCC, ShowTech Power & Lighting and Freeman. In performing work for their clients, the EAC shall cooperate fully with the TCC, ShowTech Power & Lighting and Freeman.
- The EAC shall possess a valid public liability and property damage insurance policy with minimum $5,000,000 in coverage. The Certificate of Insurance must name Informa Canada Inc. and the Toronto Congress Centre as additional insured. Exhibitors are required to obtain the EAC's Certificate of Insurance and submit it to Show Management via the online Intent to Hire an Exhibitor Appointed Contractor form prior March 2, 2026.
- The EAC shall have a true and valid work order from an exhibitor in advance of the show move-in date and shall not solicit business on the show floor, or during move-in or move-out dates.
- The EAC will be responsible, if applicable, for all reasonable costs related to the EAC’s work at the site. This may include overtime pay for stewards, restoration of the exhibit space to its initial condition, etc.
- The EAC shall abide by the Occupational Health and Safety Act and its applicable regulations at all times during set-up and tear down. All workers MUST wear approved safety footwear at all times during move-in and move-out, regardless of their booth size or location on the show floor. Approved hard hats must be worn in booths where overhead work is being done. Full details can be found in the Health & Safety section of the exhibitor manual.
Move-Out
Move-Out begins once all attendees are off the show floor. Exhibitors must wait until 3:00pm on Friday, April 10th to begin packing up or dismantling any portion of their display.
Please note: packing up displays or dismantling your booth prior to 3:00pm may effect approval to participate in future shows.
Option 1: Roll/Carry Exhibit Materials to Your Vehicle
- If you are able to roll or carry your exhibit materials safely to your vehicle, you must do so through door 4 or 5 which lead directly to the outdoor parking lot. Exhibitors will not be allowed to move-out through the pre-function area as a networking event will be taking place.
- Please be patient as all exhibitors will be attempting to leave at the same time.
Option 2: Loading Docks
If you were scheduled for Loading Dock Access for Move-In, you will be scheduled for loading dock access for move-out.
- Move-Out times will be assigned ahead of the show.
- Once your exhibit materials are packed and ready to go, check-in with the loading dock staff who will clear you to bring your vehicle down the elevator;
- Leave your exhibit materials in your booth until your vehicle has come down the loading docks. Once it has arrived, you may bring your items to the loading docks to be loaded.
- Exhibitors who have not secured prior loading dock access approval and who attempt to move-out using the loading docks will be redirected and queued up until exhibitors with pre-approval have moved out.
Stranded Freight
- All exhibit materials must be removed from the show floor no later than 10:00pm on April 10, 2026.
- If any part of an exhibit is left behind, it will be shipped out of the building through Freeman at the expense of the exhibitor.
Material Donation Program
LBMAO Buying Show have partnered with Habitat for Humanity GTA to
donate items rather than throw them out or ship them back post-show.

*Please note that all material to be donated must be pre-approved prior to show opening.
Any items left behind that have not been pre-approved for donation will be the responsibility of the exhibitor and will be subject to disposal charges. Contact Habitat for Humanity at pansy.blancheard@habitatgta.ca for pre-approval of materials and to make arrangements for your donation, or if you have any questions. Please include photos, material, size and quantities. Participate in this initiative to support your local community and simplify your move-out!
