All exhibitor personnel involved with the move-in and/or move-out process (ie. material handling, erecting/dismantling exhibits, etc.) MUST wear CSA approved safety footwear (Steel Toe Shoes) at all times during move-in and move-out regardless of their booth size or location on the show floor
Health and Safety Guidelines
Exhibitors at Construction IMPEX Canada must comply with the Occupational Health & Safety Act, enforced by the Ontario Ministry of Labour. Workplace safety is everyone's responsibility.
Key safety requirements during move-in and move-out:
- All personnel must wear CSA-approved safety footwear (Steel Toe Shoes) at all times, regardless of booth size or location.
- Prohibited footwear includes open-toed shoes (sandals, flip-flops), ballet-style shoes, crocs, and high-heeled shoes.
- Approved hard hats are mandatory in booths where overhead work or work above 10 ft. is being performed.
Show management will monitor the floor to ensure a safe environment. Report hazards or unsafe practices immediately. Review the Health & Safety Declaration and ensure your team is informed prior to move-in.

Exhibitors must comply with the Exhibitor Health & Safety Declaration and the Occupational Health & Safety Act (Ontario):
- Use of personal protective equipment (e.g., safety glasses, gloves, fall protection) as needed.
- Proper training and awareness of safety responsibilities for all onsite personnel.
- Equipment must be inspected and in proper working condition.
- Protective footwear is mandatory during move-in/move-out. Hard hats and hi-visibility vests are required for booth construction.
- Follow safe lifting practices: test the load, bend your knees, keep your back straight, and avoid twisting.
- Employers must ensure staff and contractors comply with safety regulations.
- No persons under 16 years of age are allowed on the show floor during move-in/move-out.
Emergency Procedures on the Show Floor
- The Cohere Centre is equipped with smoke detectors and an overhead sprinkler system.
- The fire alarm system is a two-stage system. During the first stage, staff and security will respond and investigate. There is typically no need to evacuate during a first stage alarm.
- If necessary, the alarm will progress to the second stage (evacuation mode).
- The Ottawa Fire Department will respond immediately upon the activation of the first stage alarm, and instructions will be conveyed to all areas of the Building via the public address (PA) system.
Hazardous Materials/Products - SDS Required
- The Cohere Centre must approve the use of any hazardous material and must be provided with a Workplace Hazardous Materials Information System (WHMIS) information sheet.
- Provide copies of each Safety Data Sheet (SDS) to Show Management and the Cohere Centre by emailing tyler.johnson@informa.com and jolyne.doyle@informa.com and events@coherecentre.ca by September 14, 2026.
- Exhibitors must have extra copies in their booth, should they be asked to show proof onsite or for emergency situations.
Fire Rules & Regulations
The Cohere Centre maintains a high level of fire safety in the facility and exhibitors are required to follow the below Fire Rules & Regulations:
- All parties involved with any show exhibit must comply with Federal, Provincial and Municipal building and fire codes.
- All fire and emergency equipment located in the Building may not be hidden or obstructed in any way.
- Emergency exits and aisles must be kept clear and unobstructed.
- Vehicles parked in fire routes will be removed at the owner's expense.
- All electrical equipment must be CSA or UL approved.
- Draping, table covering, booth partitioning and carpeting used in a show must be of flame-retardant material.
- All material is subject to inspection and flame testing at any time by the Ottawa Fire Department and/or the Building’s Director of Fire Safety.
- Plastic fabrics and other materials that are not fire retardant are prohibited.
- Boxes, packaging, and other unused exhibitor material must not be stored on top of, or around any electrical connections, fittings, or transformers.15
- Any equipment that uses open flame as part of an exhibit must be approved in writing by the Building.
PLEASE NOTE: The Ontario Building Code prohibits the use of flammable materials in booth construction and décor and if any materials or equipment are considered to be hazardous, they will be removed at the exhibitor's expense.
Security
- Exhibitors are required to maintain staff within their booth during all show hours.
- Show Management and the Cohere Centre do not assume any responsibility for losses; therefore, exhibitors should take all reasonable precautions to protect their own property, including valid Commercial General Liability Insurance.
- Security guards will be on 24-hour duty at entrances and exits from the start of move-in to the end of move-out.
