Move-In & Move-Out
All Move-In/Out times at the BMO Centre at Stampede Park's Loading Docks will be scheduled using Voyage Control, a reservation system for booking dedicated move-in and out times eliminating time wasted waiting in line to move-in our out.
We understand that some of the materials that you bring to the show may not necessitate the use of a Loading Dock for your Move-In or Move-Out. If this is the case, then you don’t need to use Voyage Control and you may enter or exit through the Main Entrance or Loading Dock Doors with materials in hand or a hand dolly directly to your booth to set-up or to your vehicle for tear down.
More information will be emailed to you early October 2025 with log-in, set-up and scheduling details for Voyage Control to help facilitate your move in experience. If you have not received this information by then, please email Maggie Roman at maggie.roman@informa.com.
Any exhibitors who show up at the Loading Dock entry without a Voyage Control booking will need to book on-site and risk having to wait for an available time slot and delay booth setup or move-out. Each vehicle will require a booking each time they arrive to load/unload and will have a limited time to load/unload before being required to depart.

Option 1: Ship Your Exhibit Materials to the Advanced Warehouse
Shipping display materials in advance with Levy Logistics will streamline the move-in and out process dramatically. Goods may be shipped to arrive on or after September 17, 2025 and NO LATER than October 15, 2025. All shipments must be received at the advance warehouse between 09:00 & 15:00, Monday – Friday. All Exhibitors shipping materials via ANY third party carrier to the advance warehouse must return the Levy Logistics- Material Handling order form prior to arrival at the warehouse.
The benefits of advance shipping include: storage of material for up to 30 days prior to the show, delivery of shipment to your booth prior to exhibitor move-in and it saves you valuable time (no waiting at the vehicle marshaling yard). If you ship to the advance warehouse, your freight will be in your booth prior to your scheduled move-in time. The cost of the service includes the following:
- receiving your material at the warehouse up to thirty days in advance of the move-in day
- delivering the shipment to your booth at the facility
- removing empty crates from your booth to a designated storage area
- returning your empty crates to your booth at the close of the show
- loading your crates onto your designated carrier at the close of the show

For advance warehousing, mail or fax the Material Handling Order Forum and Invoice with pre-payment to LEVY SHOW SERVICES INC. Shipments sent collect WILL NOT be accepted.

Option 2: Ship Directly to BMO Centre at Stampede Park
Exhibitors that choose to ship directly to BMO Centre at Stampede Park must refer to the Move-In Floorplan and follow the MOVE-IN procedures. Every crate or carton must be marked with the appropriate shipping labels. Please be advised that BMO Centre at Stampede Park will NOT accept deliveries for the event prior to the beginning of move-in. All DIRECT shipments should not arrive prior to your scheduled move-in time on Tuesday, October 21, 2025. Deliveries arriving at BMO Centre at Stampede Park before this time will be refused.
All Exhibitors shipping materials direct must complete and return the MATERIAL HANDLING order form on the Order Forms page. Please refer to the MATERIAL HANDLING order form for shipping instructions and delivery address. Please note that your 3rd party carrier will need a Voyage Control booking or they may have to wait some time before being admitted to the facility — this could result in extra charges. If at all possible, please use our official carrier Levy Logistics as they will be given priority.

Option 3: Move-In with the use of the Loading Docks with Voyage Control
Direct shipments must be made during the exhibitor’s assigned move-in day and time. Please refer to the colour coded move-in schedule above. You may NOT move-in earlier than your scheduled time, however, if you DO NOT require Loading Dock access, you may move-in later using the Main Entrance or Parking Lots.
In order to gain access to the Loading Docks for offloading you must make a booking using Voyage Control. Voyage Control allows you to book a dedicated time slot during your scheduled move-in time to show up at the Loading Docks to start offloading your items. Voyage Control Registration opens early October. Detailed instructions will be emailed to you when the portal is live and ready to accept bookings for your designated move-in time.
If you arrive at the Loading Docks without a booking, you will not be allowed to offload. You will be turned away and asked to book an offload time within your allotted Move-In time.
Please ensure that a representative from your company is present when your shipment arrives. Also, ensure that personnel working on your booth have your company name and booth number. This will ensure that the material handling on move-in days runs smoothly and efficiently and minimize security hold-ups. If an exhibitor’s representative is not present, BUILDEX Alberta reserves the right to order equipment and/or materials moved from the unloading area to the exhibitor’s booth area, or to order the removal of the truck from the unloading area. Charges for this service will be invoiced by Levy Logistics to the exhibitor.
Material Handling: The maximum time allotted for vehicle off-loading is 30 minutes. No mechanical conveyances will be provided for the movement of display material from the unloading area to your booth. A limited number of flatbed four-wheel dollies will be available, on loan, for unloading smaller shipments. We strongly recommend bringing your own dolly for a smooth and efficient move-in and out. If you require any larger mechanical devices (i.e. forklifts) for the movement of display materials from the loading dock area to your booth you must complete the Levy Logistics Material Handling Order Form found on the Order Forms page (note, this is an exclusive service and exhibitors may not bring their own forklifts).
Exhibitors who plan to off-load themselves might also want to consider using crates that have wheels to allow for faster unloading. PARKING AT THE OFF-LOADING AREA IS PROHIBITED. Vehicles must be removed as soon as unloading is complete. All exhibitors are urged to review their material handling operations and requirements with Levy Logistics well in advance of move-in.
Option 4: Hand Carry Your Exhibit
If you have hand-carriable materials, SMALL, LIGHTWEIGHT TWO WHEELED DOLLIES or a “Pop-up” display, you are permitted to park at any designated lot and walk in the front door or through the loading dock apron. You can avoid waiting times and have a quicker, more efficient move-in this way. Four wheeled dollies and large materials (other than what is a normal armload) are NOT permitted in the front doors.

Material Handling & Advanced Warehousing
What is Material Handling?
Material Handling is a paid service that provides exhibitors assistance with unloading booth materials from vehicles at loading docks and delivering those materials to their booth space during move-in, and vice versa during move-out. Depending on the service requested, material handling services can also include the collection of your crates and skids during move-in, storage of crates and skids during the event, and the return of crates and skids for move-out.
Is Material Handling included?
Unfortunately, Material Handling is a paid service and is not included in your exhibition fees. If you do not require material handling, do not allow staff to help unload your vehicle at the loading docks as this could result in additional fees you have not accounted for.

Who needs Material Handling?
Material Handling is recommended for any exhibitor unable to safely unload their booth materials without the use of a forklift or additional labour. Forklifting is an exclusive service of our General Show Services contractor, Levy. If you require a forklift to deliver materials to your booth space, please contact Levy prior to your arrival at the venue to secure preferential service rates..
Often (but not always), a larger and/or more elaborate booth space (ex. a 20x20 space, or booth with an intricate build in several crates) will require material handling of some kind.
Additionally, any exhibitor requiring storage of their crates or skids, etc. will be required to purchase Material Handling as this is the only way to receive storage onsite.
What about Advanced Warehousing?
Advanced Warehousing is shipping your crates and skids ahead of time to our General Show Services contractor, Levy’s warehouse, where they are stored ahead of the event and delivered to your booth space during move-in. Any exhibitor who has opted to use Advanced Warehousing will have Material Handling included as part of their Advanced Warehousing service.

Move-Out
Move-Out begins after show close. All exhibits must be dismantled and removed from the BMO Centre at Stampede Park by Thursday, October 22nd, 7:00 pm.
Remember - under no circumstances can exhibitors disassemble or pack up prior to the official show close time on October 24th. Exhibitors who pack up before the show is closed will NOT be given priority.
Option 1: Book Material Handling with Levy Logistics & Ship with Levy Logistics OR Your Carrier
The exhibitor is responsible for making appropriate arrangements with a carrier for shipping following the close of the show if necessary. The official freight carrier, LEVY Logistics will be on-site during the show to assist with the co-ordination of all outbound shipping and/or customs brokerage services. Please make note of the allotted move-out time and confirm this with LEVY or your alternate carrier. The exhibitor is responsible for clearly marking and labeling each piece of freight to be shipped. If MATERIAL HANDLING has been ordered and paid for, Levy Show Service will load your crated shipment onto your chosen carrier.

Option 2: Move-Out with the use of the Loading Docks with Voyage Control
Vehicles will not gain access to the loading docks without a Voyage Control QR Booking Code. Move-Out will follow the colour-coded schedule, with the first group of exhibitors moving out being a targeted group of exhibits blocking key areas of the show floor. This will make the move-out easier and safer for all. Move-Out will continue following the colour-coded schedule.
Vehicles will not gain access to the Loading Docks without a Voyage Control QR booking code for Move-out. If you are using your own vehicle to move-out, you can get in your vehicle and show the printed QR code at the Loading docks entrance at the booked timeslot.
DO NOT arrive at the Loading Docks prior to your booked time. If your vehicle arrives early, it will be turned away and asked to wait until the scheduled booked time.
DO NOT move your exhibit materials to the loading docks until your vehicle is on the show floor. You will have a maximum of 30 minutes to load your vehicle. If you are unable to self-load within this time, consider booking material handling with Levy Logistics.
MINIMIZE THE RISK OF THEFT – It is recommended that small articles of considerable value be removed at the close of the show and that your exhibit materials are not left unattended.
Please note: Offload timeslots are based on vehicle size. Move-Out timeslots for 53' trailers and 5 tonne trucks will be available after 7pm.
Option 3: Hand Carry Your Exhibit
Those with small booths (hand-carriable, small lightweight 2-wheeled dollies or 2-wheeled pop-ups) are free to remove small hand-carried materials as soon as the show closes. Four wheeled dollies and large materials (other than what is a normal armload) are NOT permitted out the front doors ; security personnel will be posted outside the exhibit hall to prevent exhibitors from leaving with 4 wheel dollies and large materials.
Exhibitor Appointed Contractors
It is the exhibitor’s responsibility to ensure all exhibitor appointed contractors (EACs) or agents abide by all rules and regulations for BUILDEX Alberta, including the Guidelines for Exhibitor Appointed Contractors outlined below. We recommend all EACs review this manual to give them an overall picture of the show guidelines.
Exhibitors are required to notify Show Management of their intent to hire an EAC by submitting the online Intent to Hire an Exhibitor Appointed Contractor (EAC) form prior to September 22, 2025 Exhibitors will require the EAC's Certificate of Insurance to complete the below form.
Exhibitors should make EACs aware of the guidelines to be followed as listed in the Booth Standards and Show Standards, as well as the points below:
- The EAC shall be given the right to provide services requested of them by an exhibitor in the set-up and dismantling on the show floor, and shall have the right to utilize qualified employees;
- These services shall not conflict with existing labour regulations or contracts, including exclusive services provided by the BMO Centre at Stampede Park, Levy and Encore. In performing work for their clients, the EAC shall cooperate fully with the BMO Centre at Stampede Park, Levy and Encore.
- The EAC shall possess a valid public liability and property damage insurance policy with minimum $5,000,000 in coverage. The Certificate of Insurance must name Informa Canada Inc. and the Calgary Exhibition & Stampede Limited as additional insured. Exhibitors are required to obtain the EAC's Certificate of Insurance and submit it to Show Management via the online Intent to Hire an Exhibitor Appointed Contractor form prior to September 22, 2025
- The EAC shall have a true and valid work order from an exhibitor in advance of the show move-in date and shall not solicit business on the show floor, or during move-in or move-out dates.
- The EAC will be responsible, if applicable, for all reasonable costs related to the EAC’s work at the site. This may include overtime pay for stewards, restoration of the exhibit space to its initial condition, etc.
- The EAC shall abide by the Occupational Health and Safety Act and its applicable regulations at all times during set-up and tear down. All workers MUST wear approved safety footwear at all times during move-in and move-out, regardless of their booth size or location on the show floor.
