Exhibitor Checklist
To maximize the benefits of participating at Greenbuild, we suggest you become familiar with all of the information relating to the show. Here is a checklist which highlights key items to consider when finalizing your plans.
GENERAL ITEMS TO COMPLETE NOW
- Register your team staff badges.
- Book your hotel rooms at a discounted rate before they sell out!
- Check our flight discounts when booking travel.
- If you are a sponsor and need to submit custom graphics or your high resolution logo, please do so by August 31.
- Review our Booth Regulations to make sure that your booth complies
- Review the Health & Safety Guidelines with all staff members who will be onsite.
- Review the Move In and Move Out details to ensure a smooth show.
- Fill out your Online Exhibitor Profile ahead of the show to receive additional exposure when attendees are planning their visit to the show floor.
- Review the Code of Conduct with all staff members who will be onsite.
- Learn how to maximize your exhibitor participation by reviewing these exciting Marketing Opportunities.
- Sign up for our Exhibitor Lunch and Learn on September 9th at 12 noon EDT.
- Talk to your team about your ROI goals and how you will measure your success at Greenbuild.
ITEMS DUE BY SEPTEMBER 16, 2026
- Download the Greenbuild App to prepare to scan your leads and update your Virtual Booth in the App to drive traffic to your booth. The Greenbuild app will go live on September 8, 2026! Please do not try to download before.
- Complete the mandatory Greenbuild Mandatory Exhibitor Greening Guidelines (GMEGG).
- If your exhibit is 400sq.ft. or larger, or if your exhibit deviates from the Show Regulations in any way, submit your booth renderings to victoria.grant@informa.com.
- If your exhibit includes any Special Features, please email victoria.grant@informa.com for approval.
- Submit Material Safety Data Sheets (MSDS) for any hazardous materials/products to be used at the show to victoria.grant@informa.com.
- Submit proof or buy insurance for Greenbuild.
- Submit the Notice of Intent to Use an Exhibitor Appointed Contractor (EAC) form if you plan to use an independent contractor to install or dismantle your exhibit. Please review Javits EAC regulations before submitting.
ITEMS DUE BY SEPTEMBER 20, 2026
- Place order with Freeman for carpet, booth cleaning, furnishings, shipping, sign/banner installation and removal, material handling if required by Sunday September 20, to receive discounted rates.
ITEMS DUE BY OCTOBER 2, 2026
- Place order with Metro AV for AV services by Friday October 2, to receive discounted rates.
ITEMS DUE BY OCTOBER 4, 2026
- Place order with the Javits Center for electrical services, rigging with electrical, internet services, etc. by Sunday October 4, to receive discounted rates.
ITEMS DUE BY OCTOBER 12, 2026
Ship your booth materials to Freeman's advanced warehouse by October 12 2026.
- Earliest Arrival Date: September 21, 2026.
- Latest Arrival Date: October 12, 2026.
- Receiving Hours: 8:00 AM - 2:30 PM, Monday–Friday (excluding holidays)
- Any freight received at the Advance Warehouse arriving after October 12, 2026 will be received at the warehouse with an additional after deadline charge.

We recommend saving your login credentials for each platform in a secure location to ensure seamless access throughout the event. If you experience any difficulty accessing these systems or need assistance retrieving your login information, please don't hesitate to reach out.
Exhibitor SPAM Alert
Greenbuild would like to make exhibitors aware of potential spam and fraudulent communications. Greenbuild does not sell or release data and maintains strict data protection policies.
We work with legal teams to combat these scams, but they persist. If you receive such emails, block and mark them as spam, and forward emails to the Federal Trade Commission (FTC) at spam@uce.gov and for fraudulent phone calls, you can report them to the FTC at ReportFraud.ftc.gov or by calling 1-877-382-4357. This helps federal authorities track spam trends and take enforcement actions against violators of the CAN-SPAM Act and telephone scam regulations.
Be cautious of unsolicited phone calls claiming to represent Greenbuild or requesting payment information, exhibitor credentials, or sensitive business data. Legitimate communications will come only from our authorized suppliers listed below.
